About the position
As a booking and administration coordinator, you will be a central part of the daily operations at Kvitnes Gård. You are responsible for ensuring that the guest journey is seamless – from first contact to departure – while also contributing with structure, coordination and administrative support internally.
The position is suitable for someone who takes responsibility, enjoys creating order in a varied work environment and is motivated by delivering good experiences for both guests and colleagues. You are solution-oriented, flexible and like to have many balls in the air. As an important part of the team, you will be a link between guests, hosts and our internal systems.
Areas of responsibility
The position combines booking, administration, hosting and HR-related tasks. You will have a central role in coordination, communication and quality assurance of the daily operations.
Work tasks
Booking and guest follow-up
Handle booking inquiries and emails daily
Follow up on individual guests, groups and partners
Plan and coordinate events
Work actively in VisBook and BookVisit
Administration
Invoicing and administrative financial follow-up
Prepare weekly operational updates for management
Perform administrative tasks related to operations and logistics
Follow up with partners and ensure good communication and coordination
Host
Be part of the host and contribute to good guest experiences
Provide warm, personal and professional follow-up for our guests
HR and personnel follow-up
Registering new employees in Runwell
Arrange housing and practical conditions at start-up
Follow up on employees completing mandatory courses and complying with our routines and ethical guidelines
Other tasks
At our company, we help each other when needed. Therefore, the position may also involve tasks such as farm work, serving breakfast, or other operational tasks as needed.
Qualifications
Relevant experience from the hotel, tourism or service industry, preferably in booking or administration
Good written and oral communication skills
Experience with VisBook, BookVisit or similar systems is an advantage
Good digital skills, preferably also experience with Excel
Experience with invoicing or administrative finance is an advantage
Good Norwegian and English skills, both oral and written.
Driving license class B
Local knowledge of Vesterålen and the surrounding area is an advantage
