If you work with Booking and Administration at our company, you are the glue in Kvitnes – the one who holds the experience together for our guests. You are often the first person guests meet, the one who makes sure that all the practicalities run smoothly, and that everyone in the team knows what is going to happen when. You must have an eye for detail, be structured and a good people person.
You can handle a fast pace and at the same time be calm, because that is precisely the peace our guests come here for. If you are going to work here, you must be passionate about what you do. At Kvitnes, we have big ambitions, but we are a safe and informal team where everyone is equally important. We are looking for you who thrive on variety, like to be in control of things – and who appreciate good guest experiences and collaboration. Work tasks
Booking and customer contact
Respond to inquiries and bookings by e-mail and telephone
Coordination, planning and implementation of events and activities
Daily work in our booking systems
Administrative
Ensure invoicing and follow up on financial details
Provide weekly updates to the team
Stay in touch with partners and keep the threads together
Handle various tasks that arise in operations
Hosting and service
Help our guests feel seen and cared for
Have primary responsibility for conferences and assist where needed
Be part of the breakfast team when needed
HR and personnel follow-up
Register new employees in internal systems
Help with housing and practical matters for new colleagues
Follow up on courses, guidelines and onboarding

We are a small and flexible organization, so you may also help with farm work or take a roof over your head where needed. That's part of the charm!
We are looking for someone who has
Experience in administration, booking, hotel or tourism
Good oral and written communication skills (in Norwegian and English)
Knowledge of Microsoft tools (Outlook, Word, Teams)
Ability to maintain overview and structure – even when a lot is happening
An eye for detail and a warm and professional demeanor
Experience with VisBook or BookVisit is preferred – but not required
